Human Resources Officer

Mbwiwi Farm Ltd is an agricultural enterprise based at Mzambazi in Mzimba District, Malawi, dedicated to sustainable farming practices and operational excellence. We are seeking a motivated and detail-oriented Human Resources Officer to join our team and support the Farm Administrator in delivering comprehensive HR services to all farm employees.

The Human Resources Officer will be responsible for day-to-day HR operations, including recruitment, employee records management, attendance and timekeeping, payroll preparation, employee relations, and compliance with Malawian labour laws. The successful candidate will be proactive, organized, and capable of working independently in a fast-paced agricultural environment.

Key Duties

  • Coordinate end-to-end recruitment for seasonal and permanent staff, including drafting adverts, screening applications, scheduling interviews, and conducting reference checks
  • Prepare offer letters, employment contracts, and ensure complete onboarding documentation
  • Conduct orientation sessions for new employees on farm policies, safety protocols, and terms of employment
  • Manage the timesheet and effort reporting system for all farm staff
  • Reconcile timesheets with supervisor approvals and prepare monthly attendance summaries for payroll
  • Track and manage employee leave balances, including annual leave, sick leave, and statutory entitlements
  • Prepare accurate monthly payroll inputs based on validated timesheets and approved changes
  • Ensure payroll calculations comply with statutory requirements, including PAYE and pension contributions
  • Respond to employee payroll inquiries and resolve issues promptly
  • Maintain complete and confidential employee personnel files
  • Ensure all HR records are organized, secure, and audit-ready
  • Track probation periods and support supervisors in completing probation reviews
  • Advise supervisors and employees on company policies and Malawi labour laws
  • Assist in handling disciplinary matters, grievances, and conflict resolution
  • Attend and document disciplinary hearings, ensuring proper records are maintained
  • Ensure HR practices comply with all applicable Malawian labour legislation
  • Assist in preparing and submitting statutory reports to MRA and other regulatory bodies
  • Prepare regular HR reports including headcount, turnover, attendance summaries, and leave balances
  • Assist in drafting and updating HR policies and procedures
  • Coordinate employee welfare initiatives as directed by the Farm Administrator

Requirements

  • Minimum Qualification: Diploma in Human Resources Management, Business Administration, or a related field
  • Preferred Qualification: Advanced Diploma in Human Resources Management is an added advantage
  • Experience: Minimum two to three years of experience in a Human Resources role, preferably in an agricultural, manufacturing, or operational environment
  • Language: Fluency in English and Chichewa or Tumbuka, both spoken and written.
  • Sound knowledge of Malawian labour laws, including the Employment Act and Labour Relations Act
  • Proven experience in managing timesheets, attendance systems, and effort reporting
  • Strong working knowledge of Microsoft Excel, including formulas, pivot tables, and data management
  • High attention to detail and accuracy in record keeping and payroll preparation
  • Ability to handle sensitive employee information with discretion and integrity
  • Excellent written and verbal communication skills
  • Strong organizational and time management skills
  • Practical problem-solving approach to employee issues
  • Ability to work in a rural farm setting with flexibility to respond to operational needs
